Conference Funding
Open to college and university faculty and graduate students of the University of Cambridge only.
The Conference Funding Competition 2012-13 is now open. We will only consider applications for conferences taking place in the academic year 2012-13, i.e. October 2012 to September 2013.
Deadline: 29 February 2012.
Selection Criteria
Conferences will be selected by a panel comprising the Director of CRASSH and members of the Centre’s Management Committee. The Conference Programme Manager will co-ordinate the selection process and inform the applicants of the result by the beginning of April 2012.
We are looking to support genuinely interdisciplinary conferences convened or co-convened by Cambridge researchers. As our funds are limited (we estimate that we will be able to support around 20 conferences in this competition), the emphasis is on using CRASSH resources to enhance their academic dimension. We encourage conference organisers to make ample provision for discussion and for the participation of graduate students. Workshops related to externally funded projects may also be eligible for administrative support only; please state clearly the funds already available.
Selection will be made on the basis of the following:
• The contribution of the conference to interdisciplinary, strategic, innovative areas of research;
• Evidence of how CRASSH support will add value;
• A coherent programme (aspirational or confirmed);
• A viable budget with information about other possible sources of funding;
• Availability of preferred conference dates.
What We Offer
The package offered amounts to the equivalent of up to £4000 for a typical two-day conference (£2000 for a one-day workshop), of which up to £2000 (£1000) is financial support for speaker travel, hospitality and accommodation. CRASSH also contributes support in kind worth up to £2000 (£1000) in the form of administrative assistance, conference venue and AV support.
Conveners would need, typically, to find additional funding to cover some costs to ensure that the maximum financial contribution from CRASSH is not exceeded, especially as it is CRASSH's policy not to pay for honoraria or publications.
Please
note that any unspent sums below the maximum agreed revert to the CRASSH
conference support fund.
The CRASSH conference facilities at the Alison Richard Building, 7 West Road, will be available as part of the in-kind contribution mentioned above. The rooms available have a capacity of either 40, 70 or 110 seats, complete with state-of-the-art AV facilities.
We are generally aiming to hold conferences out of term and are currently booking suitable slots in the Alison Richard Building, which are: 3 to 15 December 2012; 7 to 12 January; 15 to 28 March and 2 to 20 April; 14 June to 27 July; 2 to 28 September 2013. Please list a range of preferred dates in order, or tell us if dates are fixed. We cannot guarantee preferred dates will be offered.
Since it is always problematic to find accommodation in term time, we strongly suggest you choose dates within the periods offered above. If you have means of securing accommodation through your college, or other strong reasons to hold your conference in term time, we nevertheless suggest you avoid degree and other ceremony dates, e.g. Graduation weekend in June (27th-28th) or alumni weekend in September (20th- 22nd).
Please note that applicants are able to apply for the in-kind support only, but that applications for financial support always automatically include the in-kind contribution.
Administrative assistance includes:
* Conference Budget
Devising a budget, setting up conference account to manage income and
expenditure, online delegate registration/payment, producing final accounts. Sample budgets
for reference are available on the links on the right. They show how the CRASSH
contribution might be used and how we would manage the budget for your event.
* Assistance with sourcing co-sponsorship
Conveners are strongly advised to seek additional funding to top up what
CRASSH is able to offer, for instance to bring overseas speakers or
offer student bursaries. A list of potential funding sources can be found online here.
* Conference Website
Creating a conference website that includes registration form; uploading papers
to password protected site.
* Publicity
Designing a poster;
publicising event via email. Other forms of publicity such as a video conference
trailer or audio/video of the event are usually discussed on an individual basis and the cost of this will normally come out of CRASSH's financial contribution.
* On the day AV support for conferences at CRASSH
* Arrangements for
Speakers
Assisting conveners with booking accommodation (usually college);
reimbursing speakers travel costs.
* Catering
Arranging
lunches and refreshments; assisting with college dinner bookings.
* Support on the day, including registration of participants
* Post-conference delegate
